Refund Policy

Effective date: 1 January 2025

Overview

This policy applies to recordkeeping sessions booked through Portal Cedar Field Co., Ltd.: Cold Storage Inventory Sessions, Annual Preservation Ledger Reviews, and Heir Documentation Planning.

Deposit and Payment

A 30% deposit confirms your appointment. The remaining balance is due forty-eight hours before the scheduled session. Deposits are applied toward the total session fee.

Full Refund Eligibility

You receive a full refund of all amounts paid if:

• We cancel the session due to staff illness or office closure
• You cancel at least fourteen calendar days before the scheduled session date
• We determine pre-session that your needs fall outside our scope and decline the engagement before work begins

Refunds are processed within ten business days to the original payment method.

Partial Refund

If you cancel between seven and thirteen calendar days before the session, we retain the deposit and refund the balance paid.

If you cancel fewer than seven calendar days before the session, the deposit is non-refundable and any balance paid is refunded only if we can rebook the slot with another client.

Rescheduling

One free reschedule is permitted if requested at least seven days in advance. Additional reschedules incur a ₩40,000 administrative fee. Rescheduled sessions must occur within ninety days of the original date.

No-Shows

If you do not attend a confirmed session without prior notice, the full session fee is forfeited. We may offer a partial credit at our discretion for first-time clients facing documented emergencies.

Work Already Started

If a session begins and you choose to end it early, fees are non-refundable for time already spent. If we cannot complete a session due to our error, we refund the unused portion or offer a complimentary completion appointment.

Document Delivery

Printed ledger and PDF delivery fees are included in session pricing. If you cancel after document production has begun, material costs up to ₩50,000 may be deducted from refunds.

Non-Refundable Items

Administrative fees, expedited delivery supplements, additional printed copies already shipped, and third-party costs (notarisation, deposit box rental) are non-refundable.

Annual Retainer

Annual Preservation Ledger Review retainers refund on a pro-rata basis if cancelled before the first review of the term. After the first review, the retainer is non-refundable for the remaining term.

How to Request a Refund

Email contact@portalcedarfield.click with your name, session date, and reason for cancellation. Include your payment reference. We confirm eligibility within three business days.

Disputes

Unresolved refund disputes may be escalated under the governing law provisions in our Terms of Service.
