Methods, templates, and practices for maintaining offline wallet records between professional sessions.
A Living Document, Not a One-Time Filing
Capital preservation depends on records that evolve with your storage choices. This guide outlines the field methods we teach during inventory sessions — usable on your own between professional reviews.
Core Record Fields
Every offline holding entry in your personal ledger should answer six questions:
- What — Device or backup type, manufacturer, distinguishing marks.
- When — Setup or acquisition date, last verification date.
- Where — Physical location described in terms you and heirs understand.
- Why — Allocation purpose (savings, inheritance pool, emergency reserve).
- How verified — PIN check, co-holder witness, deposit box visit log.
- Who knows — Which family members or advisors aware of location (not contents).
Template Structure
We provide clients a bound ledger with numbered pages and a quarterly rotation schedule. Non-clients may request a blank template structure via our contact form — we describe the section headings without requiring a session purchase.
Section A: Master Device List
Sequential entries for each hardware wallet or air-gapped machine. Cross-reference backup entries by page number, never by seed fragment.
Section B: Backup Registry
Paper, metal, and encrypted backup records with storage layer notes (sleeve, barrier, outer container).
Section C: Verification Log
One line per check: date, group rotation letter, initials, anomalies.
Section D: Change Journal
Relocations, new acquisitions, retired devices, firmware events that altered backup procedures.
Physical Storage of the Ledger Itself
Your inventory ledger is sensitive — not because it contains keys, but because it maps locations. Store the bound copy separately from the devices it describes. Some clients keep the ledger in an attorney’s safe with viewing restrictions until trigger events.
When to Return for Professional Review
Self-maintained records drift. Schedule an Annual Preservation Ledger Review if any of the following occur:
- A move, renovation, or safe deposit box change
- Addition of a second or third hardware wallet
- A heir marriage, birth, or executor change
- More than twelve months since your last verification log entry
